1. Information We Collect

1.1 Account Information

When you create an account, we collect:

  • Username and display name
  • Password (stored in hashed form — we never store plain-text passwords)

1.2 Subscription & Preference Data

When you configure your tender feed through our setup wizard, we collect:

  • Location preferences (regions, countries, states/provinces)
  • Industry sector selections
  • Keywords and search terms
  • Tender source selections
  • Delivery method preferences (email frequency, format)
  • Email addresses of additional recipients (Pro tier and above)

1.3 Usage & Activity Data

As you use the Service, we automatically collect:

  • Tenders you view and how often you view them
  • Tenders you star/bookmark and any associated notes
  • Search and filter activity
  • Daily tender view counts (used for free-tier limits)
  • Email delivery status

1.4 AI Workspace Data (Pro+ and Enterprise tiers)

If you use our AI-powered features, we additionally collect:

  • Workspace titles and content
  • Uploaded documents (RFPs, company profiles, supporting files)
  • AI-generated draft responses
  • Company template information (business details, industry, contact info)
  • AI token usage metrics

1.5 Team Collaboration Data (Pro+ and Enterprise tiers)

If you use team features, we collect:

  • Team member email addresses
  • Team roles and permissions
  • Workspace sharing activity

1.6 Payment Information

We use PayPal to process payments. We do NOT store your credit card or bank account details on our servers. We store:

  • Subscription tier and status
  • PayPal subscription ID
  • Billing cycle and payment amounts
  • Subscription start, renewal, and cancellation dates

PayPal processes and stores your full payment information under their own privacy policy.

1.7 Contact & Enterprise Inquiry Data

When you submit a contact or enterprise inquiry form, we collect:

  • Full name
  • Company name
  • Email address and phone number
  • Industry and company size
  • Regions of interest and tender volume
  • Message content

1.8 Technical & Device Data

We automatically collect:

  • IP address
  • Browser type and version
  • Device type and operating system
  • Referring URL
  • Pages visited and time spent

2. How We Use Your Information

We use your information to:

  • Provide and maintain the Service, including delivering personalised tender feeds
  • Process subscriptions and payments
  • Send email digests and tender alerts based on your preferences
  • Power AI-assisted tender response features (Pro+ and Enterprise)
  • Enforce subscription tier limits and access controls
  • Respond to support requests and enterprise inquiries
  • Improve and optimise the Service
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

3. Third-Party Services

We share data with the following third-party services, solely for the purposes described:

3.1 TenderPipe Backend API

Your preference data (locations, sectors, keywords, source selections) is sent to our backend API to fetch and filter relevant tenders. No personal contact information (email, name) is sent to this API.

3.2 PayPal

Your email address and subscription selection are shared with PayPal for payment processing. PayPal may collect additional information directly from you during checkout.

3.3 Google Sheets (Optional — Pro tier and above)

If you enable Google Sheets delivery, tender data (titles, descriptions, deadlines, values, URLs) is written to your designated Google spreadsheet via a service account. We do not access any other data in your Google account.

3.4 OpenAI (Pro+ and Enterprise tiers)

If you use AI workspace features, the following may be sent to OpenAI’s API:

  • Tender content (titles, descriptions, requirements)
  • Documents you upload for analysis
  • Company profile information you provide
  • Your prompts and instructions

OpenAI processes this data under their own usage policies. We recommend reviewing OpenAI’s privacy policy.

3.5 Google Analytics

We use Google Analytics 4 (GA4) to understand how visitors use our site. GA4 collects:

  • Pages visited
  • General usage patterns

We have IP anonymisation enabled. We do not send personally identifiable information to Google Analytics. Admin users are excluded from tracking.

We do NOT sell, rent, or trade your personal information to any third party.


4. Cookies

We use the following types of cookies:

Essential Cookies (Required)

  • WordPress authentication cookies — keep you logged in
  • Session cookies — maintain your browsing session
  • Security tokens (nonces) — protect against cross-site request forgery

Analytics Cookies (Optional)

5. Data Storage & Security

Your data is stored on secure servers. We protect your information using:

  • Parameterised database queries to prevent SQL injection
  • Input sanitisation and output escaping to prevent XSS attacks
  • CSRF protection via WordPress nonce verification
  • Rate limiting to prevent abuse
  • Role-based access controls

While we implement industry-standard security measures, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.


6. Data Retention

  • Account data: Retained for as long as your account is active. Upon account deletion, personal data is removed within 30 days.
  • Guest wizard sessions: Automatically deleted after 7 days of inactivity.
  • Email logs: Retained for 12 months, then automatically purged.
  • Team invitations: Expire and are cleaned up after 14 days.
  • Daily view tracking: Cleaned up automatically on a rolling basis.
  • Cached data: Automatically expires within 1–15 minutes.
  • AI workspace data: Retained while your subscription is active. Deleted within 30 days of account closure or downgrade from Pro+.
  • Payment records: Retained as required by applicable tax and financial regulations.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Request correction of inaccurate or incomplete data.
  • Erasure: Request deletion of your personal data (“right to be forgotten”).
  • Restriction: Request that we limit how we process your data.
  • Portability: Request your data in a structured, machine-readable format.
  • Objection: Object to processing based on legitimate interests.
  • Withdraw consent: Where processing is based on consent, withdraw it at any time.

8. International Data Transfers

TenderPipe aggregates tender data from sources across multiple countries, including the United Kingdom, Australia, Ireland, South Africa, New Zealand, Germany, the Netherlands, and Namibia.

Your data may be processed in jurisdictions outside your country of residence. Where we transfer data internationally, we take appropriate steps to ensure your data is protected in accordance with this policy and applicable data protection laws.


9. Children’s Privacy

TenderPipe is not intended for individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.


10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the “Last updated” date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
