TenderPipe (“TenderPipe,” “we,” “us,” or “our”) operates tenderpipe.com and related TenderPipe services (the “Service”). This Privacy Policy explains how we collect, use, share, store, and protect personal information when you use the Service.

1. Information We Collect

1.1 Account Information

When you create an account, we collect your email address, username or display name, company name, and password. Passwords are stored using WordPress’s secure salted password hashing. We do not store plain-text passwords.

If you sign in with Google or another supported authentication provider, we may receive account information needed to authenticate you, such as your email address and profile name.

1.2 Subscription And Billing Information

When you subscribe to a paid plan, we store your subscription tier, subscription status, billing cycle, payment amount, PayPal subscription ID, and subscription start, renewal, cancellation, or expiry dates.

We use PayPal to process payments. We do not store your full credit card, bank account, or PayPal login details on our servers. PayPal processes payment information under its own privacy policy.

1.3 Tender Preferences And Alert Settings

When you configure your tender feed, we collect preferences such as locations, countries, regions, sectors, keywords, search terms, tender sources, delivery method, email alert preferences, and additional recipient email addresses where supported by your plan.

1.4 Usage And Activity Data

As you use the Service, we may collect information about tenders or grants you view, star, hide, save, share, or annotate; search and filter activity; daily view counts used for plan limits; email delivery status; dashboard activity; and subscription access events.

1.5 AI Workspace Data

If you use AI Workspace features, we may collect workspace titles, tender requirements, prompts and instructions, AI-generated draft responses, uploaded documents, company templates, business profile information, token usage, and related AI workspace activity.

Uploaded documents and workspace content may include confidential business information. You are responsible for ensuring that you are authorised to upload and process any documents or information you provide.

1.6 Team And Collaboration Data

If you use team features, we may collect team member email addresses, invitations, roles, permissions, workspace sharing activity, and collaboration activity.

1.7 Contact, Trial, Referral, And Enterprise Inquiry Data

When you contact us, request a trial, respond to an offer, use a referral or promo link, or submit an enterprise inquiry, we may collect your name, company name, email address, phone number, industry, company size, regions of interest, tender volume, message content, referral or promo code, and related communications.

1.8 Technical, Device, And Security Data

We may automatically collect IP address, browser type and version, device type, operating system, referring URL, pages visited, time spent, approximate country or region, authentication events, security logs, and error logs.

2. How We Use Your Information

We use personal information to:

  • create and manage your account;
  • provide, personalise, and maintain the Service;
  • deliver tender and grant alerts, email digests, dashboards, saved searches, and preferences;
  • process subscriptions, payments, renewals, cancellations, and access controls;
  • provide AI-assisted tender response features when you choose to use them;
  • enable team collaboration and workspace sharing;
  • respond to support requests, contact forms, and enterprise inquiries;
  • send service messages, onboarding emails, account notices, and security communications;
  • measure and improve website and product performance;
  • detect, investigate, and prevent fraud, abuse, misuse, and security incidents;
  • enforce plan limits and terms;
  • comply with legal, tax, accounting, and regulatory obligations.

3. Lawful Bases For Processing

Where applicable data protection law requires a lawful basis, we rely on one or more of the following:

  • Contract: to provide your account, subscription, tender alerts, dashboards, AI Workspace, and paid features.
  • Legitimate interests: to secure and improve the Service, prevent abuse, understand product usage, respond to inquiries, and operate our business.
  • Consent: for optional analytics, optional marketing communications, optional integrations, and any other processing where consent is required by law.
  • Legal obligation: for tax, accounting, fraud prevention, compliance, and regulatory obligations.

4. Third-Party Services And Processors

We do not sell, rent, or trade your personal information.

We may share information with trusted service providers only where needed to operate the Service, including:

4.1 TenderPipe Backend API

We use backend APIs to fetch, cache, filter, and display tender and grant data. For tender search and filtering, we may send preference and query data such as locations, sectors, keywords, and source selections. We do not intentionally send account passwords or payment details to this API.

4.2 PayPal

We use PayPal for subscription checkout and payment processing. PayPal may collect additional information directly from you during checkout and processes that information under its own privacy policy.

4.3 Google Sheets

If you enable Google Sheets delivery, tender data such as titles, descriptions, deadlines, values, source names, and URLs may be written to a Google spreadsheet you designate. We do not access unrelated data in your Google account.

4.4 OpenAI

If you use AI Workspace features, tender content, uploaded documents, workspace content, company profile information, prompts, instructions, and generated responses may be sent to OpenAI for AI processing, file handling, retrieval, vector search, and response generation. OpenAI processes this data under its own terms and policies.

4.5 Analytics Tools

We may use analytics tools such as Google Analytics 4 and/or Matomo to understand how visitors and users interact with the Service. Analytics may include pages visited, device/browser information, approximate location, referrer, events, and usage patterns. We do not intentionally send passwords, payment details, or tender response documents to analytics tools.

4.6 Geolocation Helper

For some public tender pages, we may use an IP-based geolocation service such as ipapi.co to suggest country-specific tender pages. This is used to infer an approximate country code from your IP address.

4.7 Email And Communication Providers

We use email systems and related infrastructure to send account emails, password reset messages, tender alerts, weekly digests, team invitations, and support or onboarding communications.

4.8 CRM And Lead Management Tools

If you contact us, request a trial, use a promo link, or submit an enterprise inquiry, your inquiry and related business information may be processed in our CRM or lead management systems so we can respond and manage follow-up.

5. Cookies, Local Storage, And Similar Technologies

We use cookies, localStorage, and similar technologies for authentication, security, preferences, analytics, referral tracking, promo tracking, country suggestions, A/B testing, and product functionality.

Examples may include:

  • WordPress authentication cookies to keep you logged in;
  • security nonces and session-related data to protect forms and requests;
  • tp_ref for referral tracking;
  • tp_promo for promo-code tracking;
  • tp_geo_country and tp_geo_dismissed for country suggestions;
  • tp_ab_hero for A/B testing;
  • analytics cookies or identifiers for GA4 or Matomo, where enabled;
  • localStorage for promo codes, pending tender links, dismissed popups, wizard cache, and AI workspace interface settings.

You can control cookies through your browser settings. Disabling essential cookies may prevent parts of the Service from working. Where required by law, we will request consent before setting non-essential analytics or marketing cookies.

6. Marketing And Service Communications

We may send you service-related emails such as account notices, password resets, subscription updates, tender alerts, team invitations, and security messages.

We may also send onboarding, trial, product, or promotional emails where permitted by law. You can unsubscribe from marketing emails using the unsubscribe link in those emails or by contacting support@tenderpipe.com. You may still receive essential service or security messages.

7. Data Storage And Security

We use reasonable technical and organisational measures to protect personal information, including HTTPS encryption in transit, WordPress password hashing, access controls, nonce verification, input sanitisation, output escaping, rate limiting, and role-based permissions.

No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect your information against unauthorised access, misuse, loss, or disclosure.

8. Data Retention

We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including providing the Service, complying with legal obligations, resolving disputes, enforcing agreements, maintaining security, and operating backups.

Typical retention periods include:

  • account data: while your account remains active;
  • subscription and payment records: as required for tax, accounting, legal, and fraud-prevention purposes;
  • tender preferences and alert settings: while your account remains active or until you change or delete them;
  • support, contact, trial, and enterprise inquiries: as long as needed to manage the relationship and business records;
  • team invitations: for a limited period needed to manage invitations and audit activity;
  • analytics and technical logs: for a limited period appropriate to security, debugging, and product improvement;
  • AI workspace content and uploaded documents: while your workspace or account remains active, unless deleted earlier by you or as part of account closure processes;
  • backups: retained for a limited period according to our backup and disaster recovery procedures.

When data is no longer needed, we delete, anonymise, or securely retain it where required by law.

9. International Transfers

TenderPipe operates online and may use service providers located in different countries. Your information may be processed outside your country of residence, including in countries that may have different data protection laws.

Where required, we take appropriate steps to protect personal information transferred internationally, such as using contractual safeguards or relying on service providers’ lawful transfer mechanisms.

10. Your Rights

Depending on your location, you may have rights to:

  • request access to your personal information;
  • request correction of inaccurate or incomplete information;
  • request deletion of your personal information;
  • request restriction of processing;
  • object to certain processing;
  • request a portable copy of your information;
  • withdraw consent where processing is based on consent;
  • complain to a data protection authority.

11. Children’s Privacy

TenderPipe is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to delete it.

12. Confidential Business Information

TenderPipe is designed for business tender discovery and response work. You should not upload or submit information that you are not authorised to share, including third-party confidential information, classified procurement documents, sensitive personal data, or legally privileged material unless you have the right to process it through the Service.

13. Changes To This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date. If changes are material, we may provide additional notice where appropriate.
